Why using AI won’t fix bad bookkeeping (and what growing businesses should do instead)

AI is becoming increasingly common in small business finance.

We’re seeing business owners and finance teams use it to speed up processes, categorise transactions, and tackle routine bookkeeping tasks.

And in many cases, it works.

But recently we came across an example that highlights a bigger issue:

AI can make a bad process faster—but it doesn’t make it better.


The scenario: last-minute bookkeeping before the VAT deadline

It’s not uncommon and may sound familiar to many business owners.

Bookkeeping gets left until the last minute. Then, just before the VAT return is due, there’s a rush to get everything up to date.

It’s perfectly possible to do this and it’s how many businesses operate.


The problem with “catch-up” bookkeeping

When bookkeeping is only done once a quarter:

Your accounts should be an essential management tool but can instead become a last-minute chore for HMRC’s benefit.

For growing businesses, that’s a real limitation.


AI: faster – but not better

In this case, the person responsible for bookkeeping was comfortable using AI.

They built routines that helped:

The quarterly bookkeeping process became quicker and less painful.

But fundamentally, nothing had changed.
