What Are Management Accounts? The Technology Has Changed – The Basics Haven’t

Everybody talks about AI. Smart business owners still need the same numbers.

Every few years, technology promises to revolutionise business management.

We moved from manual payroll calculation to cloud accounting. Then from cloud accounting to live dashboards. Now we have AI-generated insights, forecasts and reports at the click of a button.

All of these tools are useful.

But none of them change a fundamental truth:

You can’t run a business without reliable management information.

Whether you’re using Xero, QuickBooks, FreeAgent, Power BI or the latest AI-powered reporting tool, you still need answers to the same core questions:

What are management accounts?

Management accounts are the regular reports that tell you how your business is performing.

Ideally they are produced monthly and reviewed by the management team.

The format may vary from business to business, but the essentials remain remarkably consistent.

At a minimum, and supported by a simple commentary, your management accounts should include:

These reports have been the foundation of good business management for decades and remain so today.

One of the biggest mistakes we see is businesses investing in sophisticated reporting tools before ensuring the underlying information is accurate.

A dashboard is only as good as the bookkeeping behind it.

An AI assistant can produce breathtaking charts and commentary, but if transactions are missing, stock is incorrect or liabilities are understated, the conclusions and decisions will be wrong.

The old principle still applies:

Bad data in. Bad decisions out.

Before you worry about advanced analytics, make sure:

The reports may look different. The questions don’t.

Oddly, the popular accounting software solutions have a very mixed record when it comes to reports.

So perhaps it’s just as well that most business owners only need a handful of key indicators.

These were important fifty or more years ago.

They remain important today.


Cash remains king

Since they arrived on the scene, spreadsheets have been enormously helpful with cashflow forecasting and, in our view, a simple spreadsheet cashflow model is a highly effective way of managing cashflow.

However, even the most sophisticated forecasting tool is still trying to answer a very old question:

Will we have enough cash?

Many profitable businesses fail because they run out of cash, not because they run out of profit.

That’s why a business-wide focus on cashflow as well as cashflow forecasts, debtor management and working capital reviews remain essential parts of good management information.

The technology has improved. The importance of cashflow management remains.

Faster is better

What has genuinely changed is speed.

Historically, businesses might wait weeks after month-end for management accounts.

Today there’s little excuse for that.

Cloud accounting, automated data capture and integrated systems mean that most businesses should be able to produce meaningful management information within a few working days of month-end.

The sooner management receives good information, the sooner it can act.

A management accounts makeover for the digital age

If you’re reviewing your reporting processes, don’t start by asking:

“What new technology do we need?”

Start by asking:

“What decisions do we need to make?”

Once you understand the decisions, the reports become obvious.

Your management accounts need to be consistent, easily-digestible, punctual and should provide:

✅ Profitability information

✅ Financial strength indicators

✅ Cashflow visibility

✅ Budget comparisons

✅ Trends over time

✅ Insight by customer, service or product where relevant

The reporting tool is secondary.

The information is what matters.


And finally…

Business owners often get distracted by the latest software, dashboard or AI tool.

These can all add value.

But the fundamentals of running a successful business have not changed.

You still need accurate numbers.

You still need timely reporting.

You still need to understand profit, cash and financial strength.

The technology changes.
